How to Optimize Your GBP
Complete Every Field
Google rewards complete profiles with higher visibility. Fill out:
- Business name: Exact legal name. Do not keyword-stuff.
- Primary category: "Property management company" is the primary category.
- Additional categories: Add "Real estate agency," "Property maintenance," and any other relevant categories.
- Service areas: List every city and neighborhood you serve.
- Services: Add each service you offer (tenant screening, maintenance coordination, lease management, etc.)
- Business description: 750 characters. Include your target market and key differentiators. Mention your city.
- Hours: Accurate business hours. Update for holidays.
- Phone and website: Direct phone number (not a call center). Link to your homepage.
Get Reviews Consistently
Reviews are the single most important ranking factor for the map pack. More reviews with higher ratings mean higher visibility.
How to get reviews:
- Ask every new owner after the first 30 days of management
- Ask owners after a successful lease placement
- Ask owners after a positive inspection report
- Ask tenants after a maintenance request is completed quickly
- Send a direct link to your GBP review page via text or email
Target: 5 to 10 new reviews per month. Consistency matters more than volume. A steady stream of recent reviews signals an active, trusted business.
Respond to every review. Positive reviews get a thank you. Negative reviews get a professional, measured response. Potential clients read your responses as much as the reviews themselves. How you handle criticism signals how you handle problems.
Post Weekly
Google Business Profile posts are free content that appears on your listing. Post once per week:
- Market updates (local rent trends, vacancy rates)
- New client announcements (with permission)
- Tips for property owners
- Team updates or community involvement
- Links to your blog articles
Posts expire after 7 days. Consistency keeps your listing active and signals to Google that your business is engaged.
Use Q&A Proactively
The Q&A section of your GBP is public. Anyone can ask questions. Anyone can answer. If you do not populate it, random people will.
Add your own Q&A pairs. Ask and answer common owner questions:
- "What areas do you serve?"

Add Photos Monthly

Common GBP Mistakes
Not Claiming the Listing
Unbelievable how many PM companies have unclaimed GBP listings. Someone else (Google, a previous owner, a random user) created the listing. It sits there with wrong information and no reviews. Claim it at business.google.com.
Keyword Stuffing the Business Name
Adding "Best Property Management Company in Denver" to your business name violates Google's guidelines and risks suspension. Use your actual legal business name. Nothing more.
Ignoring Negative Reviews
A negative review without a response looks worse than the review itself. It signals you do not care about client feedback. Always respond professionally within 24 hours.
Inconsistent NAP
NAP (Name, Address, Phone) must be identical across your GBP, website, and every directory listing. "123 Main St" on GBP and "123 Main Street" on your website confuses Google. Consistency matters for local SEO.
GBP and Paid Ads Together
GBP is free local visibility. Google Ads is paid visibility. Together, they dominate the search results page.

- Complete every field. Categories, services, description, hours, photos.

- Set a weekly reminder to post and request reviews.
Your GBP is the marketing asset you already have and are probably underusing. It is free. It generates leads. And in most PM markets, the bar is so low that basic optimization puts you ahead of 90% of competitors.
